Optevo is a next-gen project management tool that uses AI to boost team performance and streamline collaboration. With dynamic WorkPods, the platform enables alignment and productivity across distributed teams. Our mission was to overhaul the UX and UI of the web platform, introduce AI-driven features, and improve developer handoff with a scalable design system.

The existing platform was outdated, visually inconsistent, and lacked the infrastructure for AI features. We stepped in to redesign it from the ground up — simplifying workflows, enhancing usability, and building a system that’s both powerful and intuitive.

Problem Statement

Despite Optevo’s strong product vision, the platform faced several usability and implementation issues that limited adoption and slowed development:

❌ Outdated and inconsistent interface

The legacy UI lacked cohesion, making it difficult for users to navigate the product and for developers to implement design updates efficiently.

❌ Missing design system

There were no reusable components or a central design library in place, resulting in slow and error-prone handoff to developers.

❌ Undesigned AI features

AI functionality was core to Optevo’s value prop, but key workflows like task recommendations and AI-generated insights hadn’t been designed yet.

❌ Poor collaboration with development

The Figma files were disorganized, lacking clear structure or guidelines, which made the engineering team’s job significantly harder.

How We Solved It

We started by auditing the existing product to identify friction points in the user journey. From there, we mapped out improved flows, restructured the information architecture, and designed clean, modern interfaces that aligned with Optevo’s brand and product vision.

Our focus was to:

Create a scalable design system with clear documentation
Design the full AI experience, including insight panels, smart task creation, and recommendation engines
Rebuild the Figma workspace to be developer-friendly with variants, auto layout, and clear naming
Maintain a balance between power-user functionality and intuitive UX

Design System & Guidelines

We built a robust, flexible design system from scratch. The component library included buttons, cards, tables, modals, inputs, and AI-specific UI elements like prompt panels and data highlights.

Typography, spacing, and color usage were standardized across the platform. This allowed the team to scale quickly while maintaining visual consistency and making cross-team collaboration smoother.

Visual Output

Optevo’s new design delivers a modern, AI-powered experience with clean layouts, modular WorkPods, and clear visual hierarchies. AI features now feel seamlessly integrated — surfacing insights and recommendations at the right moments without overwhelming the user.

From onboarding to task management to real-time collaboration, every screen was redesigned for clarity, focus, and speed.
